Rent Receipts in Uganda: What Every Receipt Must Show

A rent receipt is the smallest document in property management and the one that settles the most disputes. The Landlord and Tenant Act 2022 requires a landlord to issue a receipt for every payment of rent. Landlords who do it consistently almost never hear "but I paid you last week". Landlords who do not, hear it every month.

What a rent receipt must show

A receipt is a record, so it needs the facts that identify the payment beyond doubt:

1. A unique receipt number. Sequential, never reused.
2. The landlord's name (or business name) and phone.
3. The tenant's name.
4. The premises: unit and property.
5. The amount in Uganda shillings, in figures.
6. What it is for: the month, or "deposit", or "advance".
7. The date received and the method: cash, mobile money, bank.
8. The balance still owing for that month, if any.
9. Who received it, if a caretaker collected.

A receipt that shows the balance is the difference between a piece of paper and a working ledger. Item 8 is the one most handwritten receipts leave out.

Why numbering matters

Numbered receipts make gaps visible. If the book jumps from 041 to 043, either a receipt was lost or money was received and not recorded. A landlord with a caretaker collecting cash should insist on numbers for this reason alone. In Rento every receipt is numbered in a per-landlord sequence (KAS-000041, KAS-000042) and issued at the moment the payment is recorded, so a gap is impossible.

Part payments get their own receipt

Do not wait for the full month to "write one receipt". Each instalment is a payment and gets a receipt for that amount, with the remaining balance shown. This is what makes rent arrears manageable: at any moment both sides can see what has been paid and what has not.

Deposits and advances are not rent

A security deposit gets a receipt marked as a deposit, not as a month's rent, because it is the tenant's money held by you (see security deposits). A tenant who pays two months ahead gets a receipt marked as an advance, and the advance is applied to the months as they fall due.

Paper, SMS or WhatsApp

Paper still works, but it gets lost. A receipt sent to the tenant's phone by SMS or WhatsApp the moment the caretaker records the payment is both the tenant's copy and your proof of delivery. Receipts for mobile money payments

When a tenant pays by mobile money, the network's confirmation message is not a rent receipt: it does not name the premises, the month or the balance. Issue your own receipt as you would for cash, quoting the transaction reference.

Keep them

Receipts are your ledger. Keep them for the whole tenancy and for a reasonable time after it ends. If a dispute reaches the local council court, the receipts and the tenancy agreement are what you will be asked for first.
