Collecting Rent by Mobile Money in Uganda: MoMo, Airtel and Reconciliation

Most rent in Uganda now arrives by mobile money. MTN MoMo and Airtel Money are faster than cash and safer than a caretaker's pocket, but they create a new problem: thirty payments landing on one phone with names that do not match the tenants' names and no mention of which unit or month they are for. Reconciliation, not collection, is the hard part.

One number, stated in writing

Put the mobile money number in the tenancy agreement and on every reminder. Tenants who are told a number once, verbally, will send to the caretaker's personal line or to an old number, and you will spend a week finding the money.

Personal wallet or merchant code?

A personal wallet is free to receive on and fine for a handful of units. A merchant code (MTN MoMoPay, Airtel Pay) looks more professional, separates rent from your personal money, and gives you a statement you can export, but it carries fees and needs registration with the network. Most landlords under twenty units start on a dedicated personal line used only for rent; landlords above that, or with a caretaker collecting, benefit from a merchant code and the statement that comes with it.

Ask for a reference you can match

Ask tenants to add their unit label to the payment reason where the network allows it, or to send you an SMS with the transaction ID and the unit after paying. The transaction ID plus the unit is enough to match any payment in seconds.

Issue your own receipt

The MoMo confirmation proves money moved; it is not a rent receipt. It names neither the premises nor the month, and it shows no balance. Record the payment against the tenant's month, quote the transaction ID, and send the receipt. This is the step most landlords skip, and it is why "I paid on the 3rd" arguments happen even when the money did arrive.

Reconcile weekly, not monthly

Once a week, go through the phone's transaction list against your list of tenants. Anything unmatched gets a call the same day, while the sender still remembers. Left to month-end, an unmatched UGX 300,000 becomes a mystery nobody can solve.

The costs to plan for

Receiving on a personal wallet is usually free; withdrawing is not, and merchant codes carry their own fees. Decide who bears the charge and put it in the agreement. Most landlords absorb receiving costs and ask tenants to bear their own sending charge.

When to let tenants pay through a link

There is a step beyond "send to this number": a payment link. In Rento, a landlord who turns on rent collection gives every tenant a Pay button on their private page. The tenant pays by MTN or Airtel through Pesapal, the payment is matched to the right month automatically, the receipt goes out by SMS, and the money settles to the landlord's payout number less a five per cent fee. Nothing to reconcile.

A simple weekly checklist

1. Export or scroll the week's transactions.
2. Match each to a tenant and a month; record it; send the receipt.
3. Call about anything unmatched.
4. Read the dashboard: who is still owing, and by how many days.
5. Send the weekly written nudge to anyone in arrears.

Frequently asked questions

Can I require tenants to pay rent by mobile money?

Yes, if the agreement states the accepted methods and the number. Keep cash against a receipt as a fallback for tenants without a wallet.

Who pays the mobile money charges on rent?

Whatever the agreement says. The usual arrangement is that the tenant bears the sending charge and the landlord bears any withdrawal or merchant fee.

Is a MoMo confirmation enough proof of rent payment?

It proves the transfer, not what it was for. Issue a rent receipt that quotes the transaction ID, the month and the balance.

What is the fee for collecting rent through Rento?

Five per cent of rent paid through the payment link, only for landlords who opt in. Rent you collect on your own number and record in Rento carries no fee.
