How to Manage a Caretaker for Your Rental Block in Uganda
The caretaker collects the cash; you need to know what came in. A division of labour for managing a caretaker on a block of 10 to 40 units in Uganda.
Most landlords with a block of flats or a row of shops in Uganda do not live there. A caretaker collects, chases, reports and keeps the compound. The friction is always the same: you find out what was paid a week later, from memory, and the numbers do not add up. Managing a caretaker well is mostly about deciding what they record, when, and what they can see.
Give the caretaker one job: record it when it happens
Not at the end of the day, and not in a book that lives in their room. When money changes hands, the caretaker records the tenant and the amount, a numbered receipt is issued, and the tenant gets that receipt on their phone. Nobody has to remember anything and there is nothing to reconstruct on Friday.

Keep the caretaker inside their block
A caretaker should see their property and nothing else: not your other buildings, not your subscription, not your bank details. This is not about distrust; it is about a clean boundary that protects the caretaker as much as you when a figure is questioned. Put this on one page and give the caretaker a copy along with a photocopy of each tenancy agreement so they know the due day and rent for every unit.
The first week with a new caretaker
- Walk every unit together and introduce them to each tenant as the person who receives rent and issues receipts.
- Give them the one-page list of who does what and a photocopy of each agreement.
- Set up their login, locked to the property, and record the first payment together on their phone.
- Agree the day and method for handing over or banking cash.
- Check the receipts against the cash on day seven, in front of them, calmly.
A caretaker who sees you check on day seven, and sees that it took five minutes, understands that the system is the boss, not a mood.
Read the one screen every morning
Who has paid, who owes, how many days late. If the screen matches the caretaker's pocket, you are done. If it does not, you know the same day and can ask a specific question about a specific tenant. That is a very different conversation from "how did the month go?".
Let tenants check too
When tenants can open their own link and see the same balance you see, the "I paid the caretaker last week" conversation ends. The receipt number is right there, and so is the balance. Tenants become the second pair of eyes on the caretaker's recording, at no cost to you.
Pay for accuracy, not for collecting
A small bonus when the month closes with every payment receipted on the day it was received changes behaviour faster than any lecture. Collecting is the caretaker's job; recording it immediately is the habit you are buying.
When something is missing
Numbered receipts make gaps visible: a jump from 041 to 043 means a receipt was lost or money was received and not recorded. Ask about it the day you see it, calmly, with the numbers in front of you. Most gaps are honest mistakes caught early; the ones that are not are caught early too.
What it costs in time

Should a caretaker collect cash rent?
Yes, if every payment is receipted at the moment it is received and the caretaker cannot edit the record afterwards. Otherwise prefer mobile money to a stated number.
What should a caretaker be allowed to see?
Only their property: its units, tenants and payments. Not the landlord's other properties, subscription, deposits or bank details.
How do I check a caretaker's cash without visiting?
Compare the day's receipts against the money handed over or banked. Numbered receipts and a live list of who has paid make the check a five-minute job.
Can a caretaker sign a tenancy agreement for me?
Only if you have authorised them in writing as your agent. Otherwise the landlord signs and the caretaker witnesses.
